Only users with System Administrator and Task Admin Roles can create Task Templates
To create a new task template:
1. Navigate to Admin > Task Templates
Click "Add" to create new template.
2. Fill in New Template Metadata
MOST IMPORTANT:
- Title: Naming convention is [Department] :: [Content Type] - [Descriptor]
- Espanol :: Slideshow w/ Promo
- Staying Sharp :: Articles & Activities - AUDIO - NO VIDEO
- Description: Be as informative to the user as you can to distinguish this template from others for similar content types
- Department: Not required, but very important for grouping templates together when applying them to content.
- Platform, Project Type, and Task Category: Optional
3. Click Save to Create Task Template Framework
4. Click "Add" to Begin Building Task Set
- Title: Our convention is to add a prefix for a department or project to help producers distinguish similar tasks in their queue by originator or whether it is a RUSH task.
- Description: Give details particular to the task. The Title and Description appear on the user's dashboard
- Job Role for Task: The role selected here will determine the users who display in that role.
- Assign To: Which person in that role is selected for this task
- Status: For templates, this is usually set (and defaults) to "New." Occasionally you can mark a task in a template to "Not Required." It's rare.
- Chargeable: Ignore
- Notes: Different than description, but rarely used
- Predecessor: Here is where you set task dependencies. An article cannot be created, for example, until the text, images, and SEO are all ready. So the "Build Page" task would depend on all three of those other tasks being finished before it can start.
- Duration (days): How long each task should take to complete in days. There are tasks that take 0.5 days or 7 days or longer. Durations help calculate when the very first task in a set should start, using the time set for each (plus dependencies) and counting backwards from the content due date.
If your task requires a predecessor, all tasks that have been added in a template will appear in a dropdown when you click "Add" next to "Predecessor." Sample task with predecessor:
5. Click "Save" to Add Task to Template
6. Add Tasks and Create Predecessors
